Inspections

  • What are inspections?

Inspections are the processes you and your team go through to capture data and populate reports. In your context, conducting an inspection could be filling in a form, performing an audit, or going through a checklist.

  • Conduct inspections via the mobile app

Yes, you can use our mobile app to conduct the inspections.

  • Inspection access to users and groups

Inspection access is the ability to see inspections in simpliinspect. As part of inspection access, there are access levels that determine the extent to which you can modify inspections. Providing the right access level to users and groups helps you ensure that only intended stakeholders can view, edit, or delete inspections.

  • What are inspection histories?

Inspection history is a great way to review the information that has been added to an inspection. Within inspection history, you'll be able to see edits that have been automatically recorded. Therefore, everyone can be held accountable for what changes they have made and when they took place.

  • What are report layouts?

Report layouts are configurations you can create to hide or show the information that's most important to you in your inspection reports. Using report layouts, you can also create email templates to pre-fill email recipients and message bodies to help your frontline users send off inspection reports while out on-site with ease.

  • Why export inspection reports as PDF and Word files?

Exporting your inspection reports as PDF and Word files allows you to share professional-looking reports with stakeholders as soon as you complete inspections out on-site.

  • Why bulk export inspections?

Exporting inspections in bulk can save you time by packing all of the selected inspections into a single file to import into another platform or for record-keeping.

  • What does it mean to duplicate inspections?

Duplicating an inspection creates a copy of that inspection, including its responses, notes, and media attachments. This can be useful if you need to start a new inspection based on an existing one, rather than copying existing responses across manually.

  • Why use text answer questions?

Text answer questions are a great way capture answers or responses to open-ended questions, such as comments or descriptions of observations. With simpliinspect, you can create questions to capture text responses, either in short answer form or in a paragraph for more details.

  • Why use document numbering?

Document numbering can be a great way to help differentiate documents created using similar structures. With SafetyCulture, you can add document numbering to your templates to track the document's history by knowing the number of inspections conducted off the same template.

  • What are template title pages?

A template title page is the first page users see when they conduct inspections and view inspection reports. Title pages are a great way to capture essential details, giving you high-level context to inspection results. As part of customizing your template's title page, you can also create a naming convention for inspections that are conducted using the template.

  • What are custom response sets?

Custom response sets are response sets you can use within a specific template. With simpliinspect, any new template you create by default includes multiple-choice response sets such as "Yes, No, N/A" for questions, or you can have specific responses to your use case, be it a list of assets or employee names.

  • Why set multiple-choice responses as flagged?

Setting multiple-choice responses as flagged is an excellent way to flag which areas in your organization need to be improved. You can set up your template to trigger flagged responses to require actions or evidence to identify areas of interest in your inspection workflows and mark them for tracking.

  • Why use signature response questions?

With Simpliinspect, you can create personalized templates by adding questions with a range of unique response types. Signature response questions are great way to help your team to sign off on inspections and raise their accountability over inspection results.

Incidents

  • What are issues?

The Issues feature allows you and your team to report things that don't look right. Be it observations, incidents, or hazards. The feature aims to empower your workers to report and collaborate with relevant teams to resolve issues as quickly as possible. As part of reporting each issue, users can capture key information such as location, weather condition, answer critical questions, and even attach photos or videos, to provide the full context.

  • What are issue categories?

Issue categories are used to organize and sort issues reported by your team, allowing you to differentiate hazard-related issues from near-miss ones. Depending on the types of issue categories in your organization, you may want to relabel issue category names to ones more relevant to your organization's context.

  • What are issue permissions?

Issue permissions allow you to control and make changes within the Issues feature of Simpliinspect. Depending on the issue permissions you're given as a user, you'll either have the ability to add and manage issues or view all issue-related data in your organization.

  • What are issue notifications?

We understand that not everyone needs to be involved in every single issue. With issue notifications, you can notify users and groups of selected issues that are relevant to them.

  • Why export my issues to CSV?

Exporting issues as CSV can pack raw data into a single file which can be imported into another platform or for record-keeping.

Schedules

  • What are schedules?

Inspection schedules are recurring reminders you can create and assign to your team members for regular inspections, such as asset maintenance checks. To ensure inspections are conducted consistently, you can set defined timeframes for each schedule so your team members know exactly when to start and complete them.

  • What does it mean to mark an inspection schedule as "won't do"?

We understand that plans change, and sometimes schedules may need to be skipped or canceled for various reasons. If you have an inspection schedule assigned and can't complete it for whatever reason, you can mark it as "won't do" and provide a reason on why it can't be done.

  • Why pause inspection schedules?

Pausing an inspection schedule allows you to suspend reminders for your assignees, which you can resume whenever you're ready.

  • What is missed and late scheduled inspections?

We understand things can be missed or late from time to time and this is no exception to scheduled inspections. There will be times when your team members can't complete scheduled inspections within the defined timeframes and it is critical to identify why certain scheduled inspections have been missed or not submitted on time. You can easily check different statuses of missed and late inspections via the web app

Report

  • Why add inspection report logos?

Adding logos to your inspection reports is a great way to help stakeholders recognize your brand and create goodwill through the services you provide. You can set up your inspection reports with logos, so that professional reports can be generated and sent out regardless of whether you're on site or at your desk.

  • How add and update inspection report cover pages?

Adding cover pages as part of your inspection report layouts elevates their level of personalization, allowing stakeholders to easily link your findings with your organization. They're also a helpful way to provide your audience with more details about yourself as a company and your objectives.

  • What are inspection report links?

Inspection report links are links or URLs that you can create for each inspection report and share with anyone. Unlike an inspection report's PDF or Word export, which includes the data at the time of exporting, viewing the report via a link offers a real-time view. This means updates made to the inspection are reflected via the report immediately, without the need to export it again.
